AI quoting software · distributors, fabricators, IT providers
AI quoting software that works from your own price list
Serving distributors, fabricators, cabinet shops and IT providers, from Atlanta.
Staffbox automates quotes from your price list. Forward a quote request or RFQ, and a draft reply lands in your drafts folder, each priced line citing the price-list row and that list's date. A person checks and sends. It runs on a Mac mini in your building, not in someone else's cloud.

For firms that send at least 8 quotes a week from a price list. No customer install yet.
How RFQ automation works: from inbox to checked draft
Forward the request
Send the quote request or RFQ to your quotes mailbox, as it came in: typos, forwarded threads and all.
A draft lands in your drafts folder
Usually within minutes. Each priced line cites the price-list row and that list's date. The arithmetic is done in code from your price table, not by the model.
A person checks and sends
Staffbox has no sending code; send and delete rights are limited at install.
Re-tested every month (planned)
The same test set runs again before any update goes live, and staff corrections become new test cases.
A real request and the draft it produced
Copied from the 2 Oct results files of our 16 GB Mac mini, small local model, no cloud. The company is fictional: Fieldstone IT, an IT provider we built to test on.
We'd like three of the 24-port PoE switches and eight wifi 6E access points, installed.
Quote action: - 3 x SW-24P at $1,050.00 = $3,150.00, plus setup 3 x $150.00 = $450.00; line total $3,600.00 - 8 x AP-6E at $389.00 = $3,112.00, plus setup 8 x $60.00 = $480.00; line total $3,592.00 ANSWER: $7,192.00 (2 lines)

NOT IN VAULT: the request does not name one stocked item exactly. Ask the customer which model, or the person who owns pricing if it is a special order.

6 Oct, quote action v2.4 on the 16 GB Mac mini: 351 of 360 generated messy requests right, and 0 wrong totals in 475 answers; of 11 misses, 10 declined and asked the customer and 1 was a routing miss. On 5 Oct the previous version scored 345 of 360 with 6 wrong totals, all on requests that also asked about an item we don't stock (it priced the nearest stocked item or skipped the question); v2.4 flags the unstocked item and never substitutes. A person checks every draft. One request at a time, model warm; concurrent requests queue. measured

What it won't do
- Send anything. There is no sending code; a person sends every quote.
- Guess a price. If an item is not on your price list, it says so and asks; a refusal counts as a miss in our own score, so we report those too.
- Substitute an item you don't stock. Since 6 Oct (quote action v2.4) it flags the unstocked item instead of pricing the nearest one; on 5 Oct the previous version did substitute on 5 of 360 requests.
- Send your price list to a cloud AI. Models run on the box; cloud AI is off unless you ask in writing and use your own key.

Questions
What is AI quoting software?
Software that reads a quote request and drafts the reply from your price list. Staffbox does the arithmetic in code from your price table, cites the row and the list's date on every priced line, and runs on a Mac mini in your building.
Does it send quotes by itself?
No. Staffbox has no sending code. Drafts land in your drafts folder and a person checks and sends each one.
What does it cost?
Founding sites (first 100) get a free 30-day pilot, then $595 a month for as long as the box is live, with no onboarding fee. The score on 30 of your past quotes is free.
How do we try it?
Send three requests your team answers every week and Hadi sends back what Staffbox would have drafted, misses included, free. Then send 30 past quotes and your price list for the free score.
Who is it for?
Firms that send at least 8 quotes a week from a price list: distributors, fabricators, cabinet and millwork shops, and IT providers.
